  1. Start with the company vendor list

Open Tax Tracking > All Vendors. Supplier Master records from Management Accounts appear with a Supplier Master label and supplier reference.

  2. Add the tax-specific details

Assign a vendor group, category, default WHT rate and notes. For linked suppliers, maintain the name, TIN, contact email and active status in Management Accounts.

  3. Keep tax-only vendors where needed

Use Add Tax-only Vendor or the tax-vendor import for records maintained in Tax Tracking. These remain distinguishable from Supplier Master records.

Supplier Master remains the source of identity

Linked vendor names, TINs, contact emails and active status are synchronised from the same company's Management Accounts Supplier Master. Edit or deactivate those suppliers there, with the required permissions.

Organise the tax work around the supplier

Maintain reusable vendor groups, categories, default WHT rates and notes in Tax Tracking. Search the vendor list by name, supplier code, TIN or group.

Support a tax-only workflow

Add vendors directly when they are needed for tax tracking. Creating a tax-only vendor does not create a Management Accounts supplier. The list clearly identifies which records are managed by Supplier Master.

Connected to Management Accounts.

Management Accounts maintains the supplier identity and expense source records. Tax Tracking uses those links for vendor organisation and WHT follow-up within the same company.

Maintain shared supplier details in Supplier Master; maintain vendor groups, categories, WHT defaults and tax notes in Tax Tracking.

Access and review

Vendor management and vendor groups depend on the enabled Tax Tracking modules. Editing Supplier Master requires appropriate Management Accounts access; Tax Tracking access alone does not grant it.

Supplier identities and tax-specific settings have different places of maintenance. Linked Supplier Master records cannot be deleted from Tax Tracking. A default WHT rate is a working setting that your team must review for the transaction.
