Management Accounts
Create and fiscalize an NRS B2B e-invoice
Use this guide as a task-by-task checklist. NRS e-Invoicing has its own validation, approval, and fiscalization controls; it does not post the general ledger. Only successful fiscalization creates one validated, unposted Invoice Register row. Its source appears as e-Invoicing in the register, Source filter and transaction details. Filter by e-Invoicing before exporting the current view to download those entries. Open the transaction details and use Supporting documents to download its linked Final e-Invoice PDF after fiscalization. Existing fiscalized invoices are included automatically; manually attached evidence remains available.

1. Check NRS readiness
Complete setup once for the selected managed business before creating its first e-invoice.
- 1
Open Management Accounts and confirm the company, managed business, and accounting period.
- 2
Open Settings > e-Invoicing.
- 3
Confirm that the NRS business profile is complete.
- 4
Test the separate server-side API connection.
WiseWage never displays the API key or client secret.
- 5
If State, Local Government, product codes or service codes are missing, select Retry NRS choices.
- Retry confirms when choices have loaded or names the lists still unavailable; other loaded choices remain usable.
- If connection setup is incomplete, contact your administrator.
- 6
Return to Management Accounts > e-Invoicing and confirm that both readiness indicators are complete.
Import client invoices from Excel
Use this for standard sales invoices with one or more lines. Imports create drafts only; credit and debit notes use the existing adjustment workflow.
- 1
Select the company, managed business and an open accounting period.
Open e-Invoicing > Import client invoices.
- 2
Choose Download client template and send the workbook to the client.
- Select Customer from the dropdown showing code and name for this business, then choose the invoice Currency from its dropdown.
- Add missing customers in WiseWage and download again.
- Replace older two-column customer templates with a fresh template.
- Complete Invoices and Invoice Lines; link every line with Client_Invoice_Reference.
- Example sheets are fictional and are not imported.
- 3
Use the official state, local-government and product/service dropdowns.
- Keep identifiers as text and paste values only.
- Each upload supports 25 invoices and 100 lines per invoice.
- 4
Choose the revenue and receivables accounts for the batch, plus Output VAT for taxable lines.
- Select Company Code and Cost Center where needed.
- These mappings apply to every invoice in the batch.
- 5
Upload the workbook and select Preview upload.
- Review each customer, buyer details, line classifications and totals.
- Create or correct unknown customers separately; resolve all errors and preview again.
- 6
Choose Create drafts and confirm.
- All invoices in the batch save together, with permanent WiseWage numbers.
- Imported references cannot be reused for this managed business, even in another period.
- 7
Review the new drafts, validate with NRS, approve and fiscalize separately.
Uploading does not send invoices or overwrite customer master details.
2. Complete the business profile and identifiers
The BusinessID and Taxpayer Service ID are different identifiers. They must belong to the same taxpayer in the connected NRS environment.
- 1
Enter the NRS BusinessID for the managed business.
NRS may also call this the Entity ID; it is a UUID.
- 2
Enter the taxpayer's eight-character Service ID.
In the NRS taxpayer account, open My Account > API Integration and use the middle value in the IRN Template.
- 3
Do not enter WiseWage's System Integrator Service ID in either field.
- 4
Complete the Tax ID, contact details, and registered address.
Business description is optional, but must contain at least five characters when entered.
- 5
Keep the seller country as Nigeria, select the official NRS State, then select the Local Government filtered to that state.
- 6
Enter a 6-digit NIPOST postcode or an 8-digit Postcode+2.
Digits and leading zeros are preserved.
- 7
Save the profile and recheck the readiness indicators.
3. Create the B2B draft
Saving a draft records the invoice in WiseWage. It does not contact NRS or create accounting entries.
- 1
Select Create B2B e-invoice.
- 2
Choose an active customer and review the buyer's tax, contact, and structured fiscal-address details.
- 3
Keep the buyer country as Nigeria, select the NRS State, then select the matching Local Government.
- 4
Enter a valid 6-digit or 8-digit buyer postcode.
- 5
Complete the issue date, due date, currency, and payment details.
- 6
Save the draft.
WiseWage assigns the next permanent number in INV plus eight digits format; it cannot be edited, reset, reused, or manually entered.
4. Build and classify the line items
Break the invoice into reviewable lines instead of placing the full transaction in one long description.
- 1
Open the Add line menu.
- 2
Choose Quantity × Unit Price or Single Amount.
Each line can use a different entry mode.
- 3
Enter the line description.
For a single-amount line, WiseWage sends quantity 1, unit EA, and the entered amount as the unit price.
- 4
Choose Service or Product / goods.
- 5
Search and select the official NRS classification: ISIC for a service or HSN for a product.
- 6
Add an Item / Service Reference only when you want to include the seller's own SKU or internal reference.
5. Set VAT and posting controls
- 1
Choose Standard VAT, Zero-rated VAT, or VAT exempt on every line.
- 2
Review the rate and line VAT calculated by WiseWage.
Mixed VAT treatments are supported on one invoice.
- 3
Select an Output VAT liability account when at least one line uses Standard VAT.
It is disabled only when every line is zero-rated or exempt.
- 4
When classification applies, select the Company Code first.
- 5
Select an active company-wide Cost Center or one valid for that Company Code and managed business.
Changing Company Code clears an incompatible Cost Center.
6. Validate with NRS
- 1
Review the saved seller, buyer, dates, currency, payment, accounting, line classification, and VAT details.
- 2
Select Validate with NRS.
- 3
If NRS rejects the invoice, review the returned HTTP status and field-level messages on the invoice.
- 4
Correct the named fields and validate again.
WiseWage normalizes an older saved draft to the current NRS structure before retrying.
7. Approve and fiscalize
Approval and fiscalization are separate controls. Neither action posts the general ledger.
- 1
Open the validated invoice and select Approve.
- 2
Review the in-app confirmation and confirm the approval.
- 3
Select Fiscalize and confirm the external NRS submission.
- 4
Fiscalized requires NRS signing and matching invoice confirmation, not just a successful VAT report.
- If the outcome is uncertain, select Check NRS status.
- This checks the original IRN without resending it.
- Unconfirmed or rejected submissions require support review; do not create a replacement.
- Previous attempts and responses remain in the audit history.
- Credentials must match the configured taxpayer and environment; there is no fallback to another environment.
8. Cancel a draft that should not continue
- 1
Cancel only an invoice in Draft or Validation failed state.
- 2
Select Cancel draft and enter the required reason in the in-app confirmation.
- 3
Confirm the cancellation.
WiseWage retains the number, snapshots, NRS attempts, actor, reason, and time in the audit history.
- 4
Create a new draft after correcting the setup.
A cancelled number is never reused, and no credit note is created because the invoice was not fiscalized.
9. Correct fiscalized invoices and reconcile accounting
- 1
In e-Invoicing, find the original fiscalized invoice and select Credit note or Debit note.
- Choose an open accounting period, a note date and a reason, then enter positive net adjustments against the original lines.
- Confirm to save a draft; no external submission or ledger posting occurs at this step.
- 2
The note keeps the original customer, currency, VAT treatments and account mappings and carries its original IRN.
- Credit notes cannot exceed the original line net or VAT amounts after earlier credits.
- Only one unfinished adjustment is allowed per original invoice; finish or cancel it before creating another.
- An uncertain submission must be reconciled, not cancelled or resent.
- 3
Validate, approve and fiscalize the note separately.
- Credit notes reverse receivables, revenue and output VAT; debit notes increase them.
- Note PDFs identify their type and original IRN.
- The original invoice remains visible and unchanged.
- Fiscalized cancellation is unavailable until the supported NRS process is confirmed; a credit note is not an NRS cancellation.
- 4
Use Invoice, ledger and VAT reconciliation below the approval register.
- It recomputes on workspace refresh and saves checks after fiscalization and operational posting.
- Check and save results records a further snapshot; expand Previous checks for history.
- Awaiting posting is expected until the validated register row is posted.
- Exception identifies missing evidence, changed register amounts or accounts, duplicate journals, currency differences or ledger/VAT mismatches.
- 5
Open the linked Invoice Register or ledger to investigate exceptions.
- Reconciliation never silently repairs records and does not verify customer payment, NRS delivery, or filed VAT returns.
- Check NRS status remains the separate recovery action for uncertain external submissions.
10. Download the PDF and complete accounting
- 1
Before fiscalization, download the clearly marked Draft PDF when a review copy is needed.
It has no verification QR and is not valid for tax verification.
- 2
After successful fiscalization, download the final PDF and confirm that it contains the NRS IRN and encrypted verification QR code.
- An administrator must configure the public key and certificate downloaded from the matching NRS environment before fiscalization.
- WiseWage blocks submission when those keys are missing or invalid.
- A historical invoice with missing QR evidence remains downloadable with an explicit warning; contact support rather than resubmitting it.
- 3
Open Operations Registers > Invoice Register.
Confirm that exactly one validated, unposted row was created for the selected period.
- 4
Review the register row, then post it through Posting & Approvals.
