Set up Company Codes and Cost Centers

A business operating in one country does not need to create a Company Code: skip that section and create company-wide Cost Centers instead. Company Codes define the country and operating currency expected for a reporting area only when separate classification is needed.

A parent company may reuse the same four-digit Company Code when the country or operating currency setup is different; the full company, code, country, and currency combination remains unique. Individual transactions may also be entered in another currency and converted through FX. Cost Centers classify states, cities, branches, and business lines without turning every operational unit into a separate subsidiary.

Each Cost Center is eight digits. Enable Company Code classification only when the Cost Center belongs to one Company Code; otherwise it remains company-wide and does not require a four-digit Company Code prefix.

01

Create the master records

  1. 1

Open Management Accounts and select Cost Centers.

  2. 2

If the business operates in one country and does not need separate operating-currency classification, do not create a Company Code.

Go directly to Cost Centers and create company-wide Cost Centers.

  3. 3

Use Delete only to remove a newly created setup mistake that has never been referenced.

    • WiseWage checks dependencies again when you confirm deletion.
    • If an editable draft or saved FX rate uses the Company Code or Cost Center, reassign, replace, or remove that reference first.
    • If customers, suppliers, dependent Cost Centers, posted transactions, retained e-invoices, or approved periods use it, permanent deletion is prohibited; use Deactivate so historical reporting and audit lineage remain intact.
  4. 4

When no active Company Code exists, WiseWage hides the classification checkbox and Company Code selector.

Enter an eight-digit Cost Center code and name; the new Cost Center is automatically unclassified and company-wide.

  5. 5

Once at least one active Company Code exists, leave Enable Company Code classification unticked for a company-wide Cost Center; no Company Code or matching four-digit prefix is required.

  6. 6

For a Cost Center owned by one Company Code, tick Enable Company Code classification, use the information icon to review the rule, and select an active four-digit Company Code.

  7. 7

Enter an eight-digit Cost Center whose first four digits match the selected Company Code.

  8. 8

Existing classified Cost Centers remain classified when this feature is introduced.

02

Choose classification and availability

Company Code classification and business availability are related controls. When classification is off, WiseWage treats the Cost Center as company-wide and disables the Company Code selector. When classification is on, the selected Company Code is required and a multi-entity company may keep the center shared or restrict it to one active subsidiary.

  1. 1

Leave classification off when any active Company Code may use the Cost Center.

  2. 2

Turn classification on when only one Company Code may use it; the Cost Center code must begin with that four-digit Company Code.

  3. 3

For a classified Cost Center in a multi-entity company, choose the company-wide option where it is valid across the group, or select a specific subsidiary where it must not be used by another subsidiary.

  4. 4

Once a Cost Center is used in a posted transaction or an approved/locked accounting period, it cannot be edited; deactivate it instead to prevent future use while preserving the audit trail.

03

Create Company Codes in bulk

The Company Codes panel has its own controlled XLSX workflow. It creates new Company Codes only and never overwrites, deactivates, or reactivates an existing Company Code.

  1. 1

Select Download Company Code template from the Company Codes panel.

  2. 2

    Complete Company_Code, Country, and Operating_Currency.

Display_Name is optional; leave it blank to use the country name followed by Operations.

  3. 3

    Select the completed workbook.

WiseWage highlights Select a file first and keeps Upload Company Codes disabled until a file is selected.

  4. 4

    Upload the Company_Codes_Import workbook.

WiseWage validates all rows before creating anything and rejects an existing Code + Country + Operating Currency combination; edit an existing Company Code in WiseWage instead.

04

Create Cost Centers in bulk

The Cost Centers screen provides a separate controlled XLSX workflow for creating many new Cost Centers. It is deliberately create-only: existing Cost Centers are never overwritten, reclassified, deactivated, or reactivated by an upload.

  1. 1

Select Download creation template from Management Accounts > Cost Centers.

  2. 2

If there are no active Company Codes, the fresh template contains only Cost_Center_Code, Cost_Center_Name, and Availability.

Leave Availability blank or choose Company-wide; every imported row is automatically unclassified and company-wide.

  3. 3

If at least one active Company Code exists, the template also includes Enable_Company_Code_Classification and Company_Code.

    • Set classification to Yes or No on each row.
    • Yes requires an active Company_Code and an eight-digit Cost_Center_Code beginning with that four-digit Company Code; No requires Company_Code to be blank and creates a company-wide Cost Center.
  4. 4

Older five-column Cost Center templates remain import-compatible.

When no active Company Codes exist, WiseWage ignores their classification and Company Code values and imports valid Cost Centers as unclassified and company-wide.

  5. 5

Select the completed Cost_Centers_Import workbook first; WiseWage highlights the selection step, keeps Upload and create disabled until a file is selected, and then shows the filename in a green Ready state.

    • Upload the workbook and review any row messages.
    • WiseWage validates every row before it creates anything.
  6. 6

Edit or deactivate an existing Cost Center from the Cost Center register; a duplicate Cost_Center_Code in the file is intentionally rejected.

  7. 7

Select Export Cost Center register to download the current Cost Center code, name, Company Code classification, scope, and status for offline review.

The export is read-only; edit records from the register.

05

Apply it to source data

  1. 1

Choose Company Code and Cost Center Code on an operational-register transaction; each Cost Center option shows the eight-digit code followed by its name.

  2. 2

A classified Cost Center can be saved, imported, and posted only with its assigned Company Code.

A company-wide Cost Center may be used with any active Company Code.

  3. 3

When active Company Codes exist, the transaction Company Code controls the expected operating currency.

    • Templates omit Company_Code when none exist.
    • FX Rate and FX Exception Reason appear only when the active Company Codes use more than one operating currency; otherwise use the single configured operating currency.
  4. 4

WiseWage checks the relationship when a reviewed row is saved, when a completed register template is imported, and again before posting.

  5. 5

The Classification_Reference worksheet identifies whether each Cost Center has Company Code classification enabled.

  6. 6

Review the Cost Center value in GL detail and reports alongside the transaction record.
