Before you start
Required for the first period. Complete optional inventory, group or e-invoicing setup only when it applies.
- 1
Sign in using a Company Admin account with access to Management Accounts, or the authorised Super Admin portal.
- 2
Have the reporting month, chart of accounts, customer and supplier records, and supporting transaction documents available.
- 3
Confirm who will review the records before the accounting period is closed.
Open the correct company and period
You should now be working in the intended business and reporting period.
- 1
Use Switch workspace beside the WiseWage logo and select Management Accounts.
- 2
Check the Company name.
If a Business / entity selector is shown, choose the business whose records you are preparing.
- 3
Open Periods and create or select the reporting month and financial year.
- 4
Check the company, business and period in the header before entering or uploading records.
Prepare accounts and master records
Required before entering transactions that use these records.
- 1
Open Charts of Accounts (COA).
Create accounts manually or use the COA template to upload them.
- 2
Review the account classifications needed for the balance sheet, profit and loss and cash flow.
Resolve unmapped accounts before final reporting.
- 3
Open Cost Centers and create the operational classifications your business needs.
- 4
Open Customers and Suppliers and complete the master records required by your transactions.
Set currency and optional business workflows
Use only the options that apply to your business.
- 1
Open Settings > Currency & FX and confirm the reporting currency.
Maintain applicable FX rates before preparing group reports.
- 2
If the business holds inventory, enable Inventory Business and configure its accounts and inventory cost centers.
- 3
If you issue NRS e-invoices, complete the separate e-Invoicing setup and approval workflow.
- 4
For a group, keep each managed business separate and review its records before consolidation.
Enter or upload source records
Uploaded and extracted records still need review. Saving a draft is not period approval.
- 1
Choose the relevant operational register, such as Invoice, Receipt or Expense Register.
- 2
For bulk entry, download its current template, complete the required fields and select the file before uploading.
- 3
For manual entry, expand Create Manually, complete the required fields and save the record.
- 4
For scanned documents or bank statements, review the proposed fields before adding or approving the draft rows.
Review transactions and resolve errors
Validated means eligible for posting; Posted means recorded in the ledger. Neither status alone means the period is closed.
- 1
Open the relevant register and check dates, amounts, accounts, currency and customer or supplier selections.
- 2
Use Details to inspect the saved transaction and its validation messages.
Save corrected fields to revalidate.
- 3
Open Issues and follow its links to the transaction, account or inventory record that needs attention.
- 4
For inventory businesses, complete stock evidence and review calculated Cost of Sales before closing.
Close the period after review
A failed close can leave already-posted journals in an open period. Review the saved result rather than adding duplicate transactions.
- 1
Open Posting & Approvals and review the selected company and period.
- 2
Choose Close period.
For an inventory business, complete the inventory review first.
- 3
Read the confirmation and proceed only after all included transactions and required checks are ready.
- 4
Check the resulting period status.
If closing fails, open the listed issues and correct them before retrying.
Download and review the reports
You should finish with reviewed records, the correct period status and current reports.
- 1
Open Backups & Reports for the approved period.
- 2
Choose the required backup, report workbook, PowerPoint pack or Executive Email Summary Draft.
- 3
Review the output before circulation.
If records are corrected after reopening, close again and regenerate the reports.
If something does not look right
- 1
Missing rows: check the selected company, business and period, then clear table filters.
Do not re-upload solely because a view is empty.
- 2
Upload button unavailable: select a file first.
An approved period locks source uploads until approval is rolled back.
- 3
Pending or Error rows: open Details or Issues, correct the named fields and save again.
- 4
Closed period needs correction: use Reopen period, correct the source records, review and close again.
Reference: company and subsidiary scope
The Company Admin workspace is scoped to the active WiseWage company. A single-entity company shows its full company name without a redundant managed-business selector. When a company has an active subsidiary or separate entity, WiseWage shows a Business / entity switcher. Super Admins also receive a separate company switcher for moving between client workspaces.
- 1
Open Management Accounts > Settings > Business structure to create, edit, deactivate, or reactivate a related business.
- 2
Keep each entity's Chart of Accounts, source files, posting runs, diagnostics, and outputs separate.
- 3
Download each entity's final Management Accounts when its period has been reviewed.
- 4
Use group reporting outputs where the parent company needs a combined Management Accounts pack across managed entities.
Reference: Chart of Accounts review and exports
- 1
Prepare the selected managed business Chart of Accounts manually or through the COA template.
Set the account type, normal balance and appropriate balance-sheet, P&L and cash-flow classifications.
- Expense Register purchases can credit an active Bank/Cash or Liability account, including an advance or loan account. No party tagging or special liability classification is required.
- Save and posting still validate account scope, active status, purchase classification, amounts, accounting period and balanced entries.
- COA templates and exports contain account details, classifications, Is_Active and Notes. Retired extra columns in older imports are ignored; existing metadata and audit history are preserved.
- For a transaction blocked by the retired restriction, select Refresh checks in an open period, or review and save the transaction again. Remaining validation errors must still be resolved.
For a COA upload, select the completed workbook first; WiseWage highlights the selection step, keeps Upload COA disabled until a file is selected, and then shows the filename in a green Ready state.
- 2
Use Export COA when you need the saved account records back in the same COA import-template workbook format, including template columns, validation lists, and notes.
Use Print COA to print only the Chart of Accounts register table; navigation, forms, selection controls, and row actions are excluded.
- 3
Review the Chart of Accounts badge count for active unmapped COAs with no BS, P&L, or cash-flow classification selected.
- 4
In the parent Group view, use the Managed company column after Status to identify which managed business owns each Chart of Accounts row.
- 5
Group account mappings are shown only when a parent has at least one separate managed business.
- In the parent Group view, use them to link each managed-business account to the standardized group account used in consolidated reports.
- Local charts of accounts remain unchanged; blank mappings should be resolved before final group reporting.
- 6
Use the row checkboxes on Chart of Accounts to select COA records while reviewing or reconciling the list, and use Delete selected only after confirming the removal modal.
- 7
Select at least one management classification to clear the setup badge.
- 8
In Chart of Accounts, select Deactivate beside an account and confirm to prevent new use without deleting history.
- Inactive accounts retain their balances and have a Reactivate action.
- Existing drafts using an inactive account must choose another active account or wait for reactivation before posting.
- Charts of Accounts > Account activity uses a full-width ledger view.
- Review transaction shows Transaction: Posted to ledger separately from the actual transaction period status: Open - not yet closed, or Closed.
- An open period does not undo its existing ledger entries.
- Select Review transaction beside a posted entry to open its source register name, reference, date, period, business, cost center and complete debit/credit journal.
- The modal is read-only and keeps the account page open; close it to continue reviewing.
- When the exact source row is available, Open transaction opens its register transaction modal in a new tab for the original business and period.
- Existing approval and editing restrictions still apply.
- In an open period, Reverse transaction creates an equal-and-opposite journal for a posted transaction; Void transaction cancels an unposted row.
- Confirm the action in the modal.
- Both retain the register row as read-only Reversed or Voided, preserve audit history and prevent repeat reversal.
- Scheduled reversals require separate review.
- The Accounting Period dropdown shows a colored status pill beside each period name.
- The header, selected dropdown option, Periods badge and lifecycle panel show the same current period state.
- Needs correction takes priority over Reopened when saved changes or blocking errors need attention; Validated is not approval.
- Posted to ledger means the journal is recorded, even if the period has been reopened; valid edits to an existing posting in a reopened period update the ledger on save and retain the previous journal in audit history.
- Validation failures leave both the source and ledger unchanged.
- Scheduled reversal transactions still require the linked repost workflow.
- Corrections still follow the source register and period reopening/reposting workflow.
Reference: workspace switching and administrator access
- 1
Sign in through the Company Admin portal.
- 2
Use the control labelled Switch workspace beside the WiseWage logo to move quickly between Payroll, Management Accounts, and Tax Tracking.
- It shows the current workspace with a two-way switch indicator.
- WiseWage keeps the active company selected during the switch; only workspaces available to the signed-in role are listed.
- 3
Super Admins also see a Super Admin Company selector in the Payroll header.
Changing it saves the new active company, refreshes Payroll, and keeps that company selected when the workspace dropdown opens Management Accounts or Tax Tracking.
- 4
In Payroll and Tax Tracking, Super Admins also have a fixed sidebar footer showing the signed-in identity and a Back to Super Admin link.
Use it to return to the Super Admin Control Center without changing the active company.
- 5
Open the Management Accounts section near the top of the sidebar.
- 6
Select Management Accounts.
- 7
Open Customers to maintain the selected managed business customer master, then Suppliers immediately after it to maintain the supplier master used by expense and payable work.
- 8
Confirm the company and accounting period shown at the top before uploading or posting files.
A Business / entity switcher appears only when the company has an active subsidiary or separate managed entity.
Reference: approval and file controls
Approval stamps the selected period as reviewed. Once approved, source removal is locked, generated files show Approved status, and unresolved blocking issues remain available for review. Rolling back approval reopens the period and clears generated output file records so stale approved packs are not downloaded after correction starts.
- 1
Use Close period when the period is final.
- 2
Use Reopen period only when the period needs to be reopened for correction; complete the correction, approve again, then download fresh final output files.
- 3
Download uploaded sources, backups, Excel report packs, PowerPoint packs, and Executive Email Summary Drafts from their workspace sections.
- 4
Use confirmation modals before destructive or approval-changing actions.
