01

Before you start

  1. 1

    Select the correct managed business.

Customer and supplier codes belong to that business.

  2. 2

Prepare the canonical names, contact details and the applicable receivable or payable accounts.

  3. 3

Check whether Company Code classification is enabled before completing the master template.

02

Choose payment basis and required accounts

  1. 1

Use the Customer template to create or update customer master records in bulk.

  2. 2

In Customers, choose Default payment basis: Credit Sale requires Receivable Account; Immediate Payment hides it and does not require it.

  3. 3

Select the Bank/Cash account on the immediate-payment invoice.

  4. 4

Default_Payment_Basis appears beside Receivable_Account_Code in the template and customer register export.

  5. 5

Older templates without it default to Credit Sale.

  6. 6

Invoices inherit the customer default; review Payment Basis for each sale and do not enter another receipt for an immediate-payment invoice.

03

Create codes and fiscal addresses

  1. 1

In the manual Customer and Supplier forms, select Generate code beside the code field to request an unused six-digit numeric code for the selected managed business.

  2. 2

The generated value remains editable, and WiseWage asks for confirmation before replacing a code already entered; saving still repeats the server-side uniqueness check.

  3. 3

In the customer create or edit form, choosing Nigeria displays the official NRS State dropdown and then filters the NRS LGA dropdown to the selected state; changing the state clears the prior LGA, while choosing another country clears both Nigerian location codes.

  4. 4

State and LGA are optional when creating a basic customer master, but if either is supplied both must be selected as a valid pair.

  5. 5

The Customer upload workbook follows the same order with Country_Code, NRS_State_Code, and a dependent NRS_LGA_Code dropdown.

  6. 6

The importer resolves the displayed codes, validates them against the current NRS lists, rejects Nigerian state/LGA values for other countries, and continues to accept older templates without these optional fiscal-location columns.

04

Upload customer and supplier templates

  1. 1

Customer Code and Customer Name are required.

Receivable Account Code is required for Credit Sale; Immediate Payment does not require it.

  2. 2

When at least one active Company Code exists, WiseWage also shows Company Code in the Customer and Supplier forms and templates and requires it in both master templates; when none exists, WiseWage omits the field and workbook column completely and creates the records company-wide.

  3. 3

The customer account dropdown lists active Asset accounts classified as Accounts Receivable for the selected managed business; cash, revenue, expense, and other Asset accounts are not accepted.

  4. 4

An existing Customer Code is updated on upload.

  5. 5

The customer upload highlights Select a file first, keeps Upload customers disabled until a completed workbook is selected, and then shows the filename in a green Ready state.

  6. 6

Use the Supplier template in Suppliers to create or update suppliers in bulk; its Payable Account Code dropdown lists active Liability accounts, and an existing Supplier Code is updated on upload.

  7. 7

Supplier aliases are not maintained: transaction rows match the exact Supplier Code first or, when no code is supplied, one exact canonical Supplier Name.

  8. 8

The supplier upload highlights Select a file first and keeps Upload suppliers disabled until a completed workbook is selected; the selected filename then appears in a green Ready state.

05

Resolve provisional suppliers and customers

  1. 1

When an uploaded Expense Register supplies a usable unmatched Supplier Code value containing a supplier name, WiseWage immediately creates one six-digit provisional Supplier Master record marked Review required.

  2. 2

Duplicate names within the workbook create only one provisional supplier.

  3. 3

The Suppliers menu and notification bell show the review count, while affected expense rows remain blocked.

  4. 4

Open each provisional supplier, confirm or correct its details, and save it; WiseWage then applies the reviewed code and name to matching rows and clears their supplier-review error.

  5. 5

Bank Statement Scanner names can also be created explicitly for review.

  6. 6

Posting remains strict and never creates suppliers.

  7. 7

When an uploaded Invoice Register supplies a usable unmatched Customer Name without a Customer Code, WiseWage creates one six-digit provisional Customer Master record marked Review required.

  8. 8

Duplicate names create only one provisional customer, and the invoice rows remain blocked until the customer is reviewed and saved.

  9. 9

Posting itself remains strict and never creates customers.

  10. 10

The Suppliers and Customers menus, plus the notification bell, show the outstanding counts; edit the record or update it through its master template to clear the review flag.

06

Review activity and statement balances

  1. 1

Customer and Supplier master rows distinguish Has posted transactions from Has unposted transactions and show both badges when both lifecycle groups exist.

  2. 2

In Customers or Suppliers, select the eye action to open the relevant activity view.

  3. 3

It includes PENDING, VALIDATED, ERROR, WARNING, and POSTED register rows with a lifecycle badge on every row; unposted rows remain visible without journal lines, while statement totals and balances continue to use posted activity only.

  4. 4

WiseWage groups balanced posted journal lines into one business transaction and shows invoices or bills, receipts or payments, running receivable or payable balances, document-currency totals, and group-currency values using the exact scoped closing FX rate for the transaction period.

  5. 5

If that period has no active rate yet, WiseWage uses the latest active earlier-period rate for the same Company Code, then the applicable entity or global fallback; a future-period rate is never applied backward.

  6. 6

Use the filters to narrow a customer or supplier statement, then select Export filtered statement to download exactly the displayed transactions and their underlying journal lines.

  7. 7

Customer workbooks keep Invoiced, Received, and Credits as positive magnitudes; supplier workbooks keep Billed, Paid, and Credits as positive magnitudes.

  8. 8

The formula-driven Net Movement subtracts receipts, payments, and credits as applicable, and Running Balance accumulates that movement separately for each document currency in chronological posting-date order.

  9. 9

Expand View journal only when you need to inspect those lines on screen.

07

Export, update and preserve identifier formats

  1. 1

Select Export Customer register for the customer master.

    • In Suppliers, apply your filters and select Export current view to download only the visible suppliers in their displayed order.
    • Both retain the upload-template format, header guidance, dropdowns and all editable fields.
  2. 2

Edit existing rows or add new codes, then upload the workbook through the corresponding bulk upload.

  3. 3

Existing codes update their master records and new codes create records.

  4. 4

Customer and Supplier templates pre-format Customer Code, Supplier Code, Company Code, Phone, Tax ID, and receivable or payable account codes as Excel text so leading zeroes remain intact.

  5. 5

Keep that format when pasting values.

  6. 6

An import rejects any of these identifier cells when Excel has stored it as a number, because WiseWage cannot reconstruct a leading zero already removed by Excel.

  7. 7

Customer and Supplier register exports also write their identifier fields as strings and retain the text format.

08

Edit an existing master

  1. 1

Use Edit to correct the canonical customer name, contact details, receivables account, or status.

    • Company Code is available there only when the company has at least one active Company Code.
    • Delete is available only for an unused Customer Master record after the in-app confirmation.
    • A customer referenced by saved, uploaded, or posted invoice or receipt transactions must be marked inactive instead, preserving the audit trail.
