Create a reviewed draft with Accounts Agent

Create an unposted transaction from a document or email. Review the extracted details, correct anything missing, then add the draft to your register.

01

Before you start

Have your invoice, receipt or supplier bill ready. Select the correct company and accounting period.

Accounts Agent prepares a draft for you to review. It does not post transactions, approve periods or make payments.

02

1. Open the right register

  1. 1

Go to Management Accounts > Operations.

  2. 2

Open the register for the transaction, such as Invoice Register or Expense Register.

  3. 3

Find the purple Accounts Agent panel.

03

2. Upload and extract

  1. 1

    Select one source document.

    • Supported files: PDF, JPG, JPEG, PNG, CSV or TXT.
    • Scanned and image-only PDFs are supported.
  2. 2

    Choose Extract draft.

Wait for the proposed transaction fields to appear.

04

3. Check the proposed details

Compare the draft with the original document. Correct unclear or missing values before continuing.

  1. 1

Check the customer or supplier, document number and date.

  2. 2

Check the currency, amounts and tax treatment.

  3. 3

Check the account selections, Company Code and Cost Center.

    • Expense drafts may suggest a treatment from prior posted entries for the same supplier.
    • You must confirm that it is appropriate.
05

If currency conversion is suggested

Convert for posting is preselected only when matching supplier history supports it and an active FX snapshot exists for the Company Code, transaction date and period.

  1. 1

    Review the saved exchange rate.

    • Profit and loss accounts use the average rate.
    • Assets, liabilities and equity use the closing rate.
  2. 2

Confirm the converted amounts in Transaction details.

    • The calculation shows the original document amount and saved rate.
    • Group Net Amount and Group Gross Amount are read-only amounts in the group reporting currency.
  3. 3

Untick Convert for posting if you want to restore the extracted currency and amount.

06

4. Add the draft and review its status

  1. 1

Choose Add unposted draft when the proposed information is correct.

  2. 2

Open the saved register row and review the validation list.

    • Each listed problem has its own correction.
    • Save transaction changes to check the updated fields together; resolved errors disappear after a successful save.
  3. 3

Complete missing fields and save again.

    • The draft must pass validation before it can be posted or included in period approval.
    • Posting follows the normal register workflow.
07

Alternative: send the document by email

Registered WiseWage users can email or forward transaction details and supported attachments to accounts-intake@wisewagehr.com.

  1. 1

Name the company and include the transaction details.

    • You can send an existing email thread.
    • A fixed subject format is optional.
  2. 2

Answer any questions in the same email thread.

WiseWage asks when the company, period, register or accounting treatment is unclear.

  3. 3

After routing is confirmed, reply Draft or Create unposted draft if you want to save before all classifications are known.

  4. 4

Open the Unvalidated draft in the register, complete the required fields and save it as Validated.

08

Find the original evidence

Review scanned amounts and text carefully against the source.

For email intake, Supporting documents retains the full conversation as a downloadable HTML file and the original attachments as separate evidence files.

09

When you manage more than one company

The sender name, email address or domain does not select a company. Name the company explicitly in the transaction evidence, or answer WiseWage?s company question before a draft is routed.
