01

Open the recorded history

  1. 1

Open Management Accounts > Review > Activity & Audit Logs.

  2. 2

Check the company at the top of the workspace.

    • Only companies you can access are available.
    • Changing company loads its separate recorded history.
  3. 3

The initial business and period filters follow your workspace selection.

Choose All businesses and All periods, or Clear filters, to include older events and company-wide actions without that context.

02

Find an action

  1. 1

    Search for an event.

Enter a word or phrase in Search history.

  2. 2

Narrow the results with the dropdowns.

    • Action lists recorded action types.
    • Register lists available registers and retained register history.
    • Choose All actions or All registers to remove a restriction.
    • Use User to search by name or email.
    • Choose a labelled company administrator, a recorded super administrator, or a historical actor.
    • Historical actors without current access remain available for reviewing past activity.
    • Ordinary members without recorded Management Accounts activity are excluded.
    • Select All users to remove the filter.
  3. 3

    Apply your filters.

    • Choose dates, business, period or outcome as needed, then select Apply filters.
    • Dates and times use UTC.
  4. 4

    Move between results pages.

    • Select Page 2 for the next 50 matching events.
    • Use Page 1 or the preceding page button to go back.
    • Each page replaces the displayed results.
    • Applying filters, clearing filters, or refreshing returns to Page 1.
    • Clear filters restores the company-wide view.
    • Export filtered logs still includes every matching page.
03

Review recorded changes

  1. 1

Review the actor, timestamp, company, business, period, and register on each event.

Recorded history can include transaction and master-data changes, uploads, validation, posting, reposting, closing, reopening, and output generation.

    • New register saves record each saved transaction separately, including its register, reference and available before/after accounting fields.
    • Older events may contain only the number of rows saved; their missing details cannot be reconstructed.
  2. 2

    Open View recorded details.

    • The button turns blue and opens a panel containing previous and new values, where recorded.
    • Select Hide recorded details to close the panel.
    • Credentials and raw technical error details are withheld.
    • Some older events have no displayable values.
  3. 3

Use Open related workspace to review available records.

    • Deleted records have no link.
    • A link may open the related workspace when an exact record link is unavailable.
04

Export the filtered history

  1. 1

Set the filters you need and select Apply filters.

    Then choose Export filtered logs.

    • The Excel workbook includes every matching event, including older pages you have not loaded on screen.
    • Apply any changed filters before exporting.
  2. 2

    Open the Activity sheet.

    • Review events, UTC timestamps, users and actions.
    • Each row also shows the company, business, accounting period, register and outcome.
    • The explanation summarises the recorded action, document reference and available status or field changes.
    • It does not guess missing reasons or claim the record still has that status.
    • Outcomes are colour-coded.
  3. 3

    Open the Changes sheet.

    • Changed fields appear first with their recorded previous and new values.
    • Unchanged context and one-sided recorded details are labelled separately.
    • Match the event reference to the Activity sheet.
    • New register saves capture accounts, amounts, payee, classification, dates, tax fields and narration.
    • Older count-only events cannot show edits that were never recorded; their Change detail row explains this limitation.
    • Events without exportable field values still have a row labelled No before/after values available.
    • Missing values are labelled Not recorded.
    • Both sheets have filters, frozen headers and wrapped text.
    • Status values use readable labels.
  4. 4

Wait for the export to finish, or select Cancel export.

    • A failed or cancelled export does not download a partial file.
    • Changing the applied filters or leaving this view cancels an in-progress export.
  5. 5

Export uses the same access controls and sanitized details as the activity page.

    • Credentials and sensitive technical details remain excluded.
    • The self-guided demo simulates export using fictional events without downloading a file or changing records.

Understand outcomes and gaps

  1. 1

Succeeded means the recorded result explicitly confirms success.

Completed means a completed action was recorded; it does not establish the record's current status.

  2. 2

Failed means a failure was recorded.

Open the related workspace to review available validation or processing details.

  3. 3

Not recorded means the event has no separate success or failure result.

    • The page displays existing audit events only.
    • It does not reconstruct missing events or claim that every historic attempt was logged.
  4. 4

Voids and reversals show their specific recorded event.

    • An unambiguous immediate legacy removal-request duplicate is omitted from the activity view, while both original audit records remain stored.
    • Unmatched legacy requests remain visible without claiming that a row was deleted.

Audit history cannot be edited or deleted from this page.

Use the normal workspace workflow and its confirmations for any authorized correction.
