Use the Management Accounts AI Assistant

The Management Accounts AI Assistant is a conversational assistant that sends every question to the configured AI model. It can reason over the selected Management Accounts workspace context—including COA, GL entries, journals, source lineage, sources, processing runs, diagnostics, issues, backups, reports, and prior-period comparison—and can also answer general questions from model knowledge. It does not silently replace a failed AI response with a keyword-based template.

Open the assistant

  1. 1Open Management Accounts from the Management Accounts section near the top of the Company Admin sidebar.
  2. 2Select the company, managed business, and accounting period you want to review.
  3. 3Open AI Assistant from the Management Accounts workspace menu.
  4. 4Use a shortcut prompt or type a specific question.
  5. 5Press Enter to send, or Shift+Enter to add a new line before sending.
  6. 6Use New chat to start another conversation without losing the current one.
  7. 7Saved conversations appear in Your chats and can be reopened after refresh, sign-out, or from another device.
  8. 8Chats are private to the signed-in user and kept separately for each company, managed business/group view, and period.
  9. 9Delete a saved chat only when it is no longer needed; WiseWage asks for confirmation before permanently removing it.

What to ask

  1. 1Ask questions naturally; you do not need to use predefined keywords or shortcut wording.
  2. 2Ask for revenue, revenue drivers, expenses, gross profit, net profit, cash and bank, receivables, payables, VAT, or journal activity for the selected period.
  3. 3Ask what changed from the previous period when prior-period GL data exists.
  4. 4Ask which source file created posted entries or which accounts moved the most.
  5. 5Ask what should happen next for the selected period.
  6. 6Ask the assistant to explain diagnostics and open issues.
  7. 7Ask whether the trial balance looks ready for approval.
  8. 8Ask for a summary of source files, processing runs, backups, Excel report packs, PowerPoint packs, and Executive Email Summary Drafts.
  9. 9Ask for an Accounts Receivable customer breakdown workbook when you need a downloadable customer-level review artifact.
  10. 10Ask about COA readiness or missing review steps before approval.

How answers and failures are handled

Every submitted question is sent to the configured AI model with recent conversation and authorized workspace context. For investigations, the assistant should perform the analysis itself, reconcile supporting detail where available, and identify explained, unexplained, or missing information. If the model is unavailable or returns an invalid response, the chat shows an explicit unavailable message instead of presenting a canned workspace-data answer.

Manage saved conversations

WiseWage saves each Management Accounts conversation to the signed-in user's private chat history. New chat starts a separate conversation, while selecting a title under Your chats reopens its messages and context. Deleting a chat affects only that selected conversation and requires confirmation.

Download assistant-created review artifacts

For supported review requests, the assistant can create a scoped workbook attachment inside the chat. The Accounts Receivable customer breakdown uses the selected company, managed business, and YTD period context, reconciles to posted AR GL lines, and uses customer/counterparty fields from source rows when available. If the request is unclear, the assistant may ask a clarifying question before creating a file.

  1. 1Ask for a customer, debtor, receivables, Excel, XLSX, or workbook breakdown from the Management Accounts AI Assistant.
  2. 2Review the assistant answer and use the attachment button shown in the chat response.
  3. 3Open the Customer Summary sheet for customer balances and the AR GL Detail sheet for source-line support.
  4. 4If rows show an unspecified customer, review the source register and narration because the uploaded source row did not expose a customer field.

What the assistant will not do

The assistant does not silently post registers, approve periods, roll back approval, remove uploads, delete records, upload files, or generate the main backup/report packs. Those actions remain in the workspace and require the normal confirmation modal. It may generate supported review artifacts, such as an Accounts Receivable customer breakdown workbook, when requested from the chat.

  1. 1Use Processing Runs to post registers or approve periods.
  2. 2Use Backups & Reports to generate and download output files.
  3. 3Use Source Intake to upload or download source files.
  4. 4Use rollback only when a reviewed period needs correction.
