Prepare source intake and templates

Source Intake is the controlled handoff point for Management Accounts. Templates are prepared from the selected company, managed business, period, and Chart of Accounts so reviewers do not have to rebuild workbooks manually.

Download the right template

  1. 1Select the correct company, managed business, and period.
  2. 2Use MA monthly register template for operational register uploads.
  3. 3Create active customers before downloading the template so Customer_Reference and the Customer Code/Name lists are populated.
  4. 4Use inventory tracker template for inventory review files.
  5. 5In Management Accounts > Settings, turn on Inventory Business for a managed business that holds inventory. Every period for that business then requires both an Operational Register and an Inventory Tracker.
  6. 6Use Value Added Service Ops Details for VAS subscriber, billing, revenue, and uptime operating data.
  7. 7Download a fresh template after changing the Chart of Accounts.
  8. 8Do not rename required sheets or headers in the template.
  9. 9For invoices and customer receipts posted against Accounts Receivable, provide Customer_Name and optionally Customer_Code. WiseWage matches by code, then normalized name and aliases, and creates identifiable unmatched customers for the selected managed business. If both customer fields are blank, the invoice or receipt is linked to the shared AUTO-ACCOUNTS-RECEIVABLE customer and an informational note is recorded without blocking posting or approval. An unknown code without a usable name, or an invalid receivables account, remains a blocking error.
  10. 10Use Edit to update or deactivate a customer. Use Delete to remove an unwanted Customer Master record after confirming the in-app warning; historical posting snapshots remain available, and an automatic customer is recreated if a later register still requires it.

Upload source files

  1. 1Open Source Intake.
  2. 2Choose the source type that matches the workbook.
  3. 3Choose the completed file.
  4. 4Click Upload source file.
  5. 5Date cells may be genuine Excel dates, YYYY-MM-DD, or Nigerian DD/MM/YYYY. WiseWage interprets slash dates as day-first and normalizes supported dates to YYYY-MM-DD for validation, display, and posting.
  6. 6Review the uploaded row and use Download when you need to inspect the submitted workbook later.
  7. 7For an Inventory Tracker, WiseWage imports Monthly Tracker, Monthly Imports, Journal Log, and Closing Stock Confirm as stored row snapshots. Open the matching pages under Inventory to review each sheet inside the app.
  8. 8Inventory sheet rows and formula results are read-only in WiseWage. To correct them, replace the workbook in Source Intake; the latest upload replaces the prior stored snapshots for that business and period.
  9. 9The Inventory Tracker shows Needs Reconciliation until the Operational Register has been posted, Needs Review when a comparison identifies missing or mismatched values, and Validated only when Cost of Sales and Closing Inventory reconcile to the posted GL.
  10. 10After operational registers are posted, open the matching register from the Operations menu to view the uploaded rows as table data inside WiseWage.
  11. 11Unlocked periods allow in-workspace row amendments for review; approved periods keep the uploaded rows visible but locked until approval is rolled back.

Approval behavior

Approved periods lock source removal. For an Inventory Business, WiseWage also blocks approval and final Management Accounts until the Monthly Tracker Cost of Sales and Closing Inventory match the posted P&L and Balance Sheet amounts. If a source file must be replaced after approval, roll back approval first, make the correction, then repost, regenerate, and approve again.
